Effective Date: September 13, 2026
This Privacy Policy explains how Lando Digital LLC (“Lando Digital,” “MyFireTools,” “we,” “us,” or “our”) collects, uses, discloses, retains, and protects personal information in connection with MyFireTools websites, web applications, mobile applications, APIs, customer portals, support, and related services (collectively, the “Services”).
This Policy applies to information we process as the operator of MyFireTools. In many cases, a fire-protection company or other business customer uses MyFireTools to collect and manage information about its employees, technicians, customers, contacts, buildings, systems, devices, inspections, and service activities. For that information, the business customer generally determines the business purpose and means of processing, and Lando Digital processes the information to provide the Services. Individuals should also contact the relevant business customer when their request concerns records controlled by that customer.
MyFireTools is owned and operated by Lando Digital LLC.
We may collect names, business names, job titles, email addresses, telephone numbers, usernames, account identifiers, profile information, roles, permissions, organization membership, authentication information, and account preferences. Passwords should be stored using security protections appropriate to the authentication system and are not intended to be available to our personnel in readable form.
Users may enter information concerning their customers, property owners, occupants, contacts, buildings, addresses, sites, panels, systems, equipment, devices, assets, and related business records. This information may include names, addresses, telephone numbers, email addresses, site notes, access instructions, and identifiers.
We process information entered or generated through inspection and service workflows, such as schedules, appointments, inspection answers, test results, measurements, deficiencies, pass/fail status, notes, code references, technician assignments, timestamps, reports, proposals, estimates, work orders, price-book items, invoices, payments or payment status, and related operational records.
The Services may allow users to upload or capture photographs, videos if supported, documents, attachments, equipment labels, inspection evidence, signatures, notes, and other content. Such content may contain personal information depending on what a user chooses to capture or upload.
When a user enables location-dependent mobile features, the MyFireTools mobile application may collect precise or approximate device location, GPS coordinates, location accuracy, and associated timestamps. Location may be associated with an inspection, building, device, asset, technician activity, or other field-service record. Location collection depends on device permissions and the feature being used. Users can control device permissions through their operating-system settings, although disabling location may prevent location-dependent features from working.
We may automatically collect IP address, browser type, operating system, app version, device type, device or installation identifiers, login events, pages or features used, timestamps, request logs, performance information, error information, and security events. Our mobile application may use crash-reporting and diagnostic technologies, including Firebase Crashlytics, to help identify crashes, errors, affected devices or app versions, and performance problems.
If MyFireTools offers Face ID, Touch ID, Android biometrics, or similar device authentication to unlock the application, biometric matching is ordinarily performed by the device operating system. MyFireTools is designed to receive the authentication result rather than a copy of the user’s fingerprint or facial biometric template. Device-platform behavior and data handling are also governed by the device manufacturer and operating-system provider.
If you purchase paid Services, we may process billing contact information, subscription plan, invoices, transaction identifiers, payment status, and related financial records. Full payment-card information may be processed by a third-party payment provider rather than stored directly by MyFireTools. If purchases are made through an app store, the store processes payment information under its own terms and privacy policy.
We collect information you provide when you contact us, request a demo, submit a support request, participate in onboarding, report a problem, respond to a survey, or otherwise communicate with us. This may include message content and files you provide for troubleshooting.
Our website and web application may use cookies, local storage, session technologies, and similar tools for authentication, security, preferences, functionality, analytics, and performance. Where required, we will request consent before using non-essential cookies. Browser settings may allow you to block or delete cookies, but doing so may affect functionality.
If a Customer enables a third-party integration, we may receive or exchange information necessary to provide that integration. Examples may include accounting, mapping, identity, payment, notification, compliance-reporting, or other business systems. We may also receive information from an organization administrator who creates or manages a user’s account.
We use personal information for purposes including:
We do not disclose personal information simply because it is valuable to others. We may disclose information in the following circumstances:
We use vendors and subprocessors to help provide infrastructure, cloud hosting, databases, storage, authentication, email or messaging, maps/location services, payment processing, analytics, crash diagnostics, customer support, security, and related functions. These providers may process information only as needed to perform services for us, subject to contractual and legal protections appropriate to their role.
A Customer may direct the Services to share records with its Authorized Users, customers, property contacts, customer-portal users, accounting systems, compliance platforms, or other integrations. Permissions and publication settings may affect which records are visible to others.
Information may be disclosed in connection with an actual or proposed merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar corporate transaction, subject to appropriate confidentiality and applicable law.
We may disclose information when we reasonably believe disclosure is necessary to comply with law or valid legal process; protect rights, safety, property, or security; investigate fraud, abuse, or security incidents; or enforce our agreements.
We may disclose information for another purpose when the relevant individual or Customer has consented or directed us to do so.
MyFireTools is primarily a business software service. We do not intend to sell personal information for money. We also do not intend to use Customer inspection records, precise location, photos, or customer/property records for cross-context behavioral advertising.
If our practices change in a manner that constitutes a “sale” or “sharing” under an applicable privacy law, we will update this Policy and provide any legally required notice, consent, or opt-out mechanism. Website analytics or advertising technologies, if added, must be configured and disclosed consistently with this Policy and applicable consent requirements.
As between Lando Digital and a Customer, the Customer retains its rights in Customer Data, subject to our rights to process it to provide and protect the Services. A Customer organization controls which Authorized Users can access its account and may determine what records are collected, published, exported, retained, or deleted, subject to product functionality and applicable law.
If you are an employee, technician, property contact, building owner, or other individual whose information was entered into MyFireTools by one of our Customers, that Customer may be the appropriate party to handle your request concerning the underlying business or inspection record. We will assist Customers with appropriate requests as required by law and contract.
Precise location is collected only when permitted by the device and used by a location-dependent feature. Depending on configuration, location may be stored with inspection or device records to document where field activity occurred or where equipment is located. GPS information can be inaccurate due to device, environmental, satellite, network, or operating-system conditions.
You can change location permissions through iOS or Android settings. If a feature can reasonably operate through manual entry rather than location permission, we may provide that option where appropriate. Disabling permission may limit GPS tagging or other location-dependent functions.
Camera or photo-library access is used when a user chooses to capture or attach inspection evidence, deficiencies, equipment, documents, or other job-related content. Users should avoid capturing unrelated individuals, confidential documents, or sensitive information unless necessary and authorized for their business purpose.
Photos and files uploaded to a Customer account may remain part of the Customer’s inspection or service records until deleted according to Customer instructions, account settings, contractual retention requirements, backup cycles, or legal obligations.
The MyFireTools mobile application may use Google Firebase services, including Firebase Crashlytics, for crash and diagnostic reporting. Depending on the service configuration and device, diagnostic information can include app version, device/operating-system information, crash traces, technical identifiers, and information about the state of the application when an error occurred. We use this information to diagnose and correct technical problems, improve stability, and protect the Services.
Google processes information for these services under its applicable terms and privacy commitments. We do not intentionally place inspection content, customer records, or precise GPS coordinates into crash reports, although technical logs or user-provided troubleshooting information may contain contextual information. We work to minimize unnecessary personal information in diagnostics.
We retain personal information for as long as reasonably necessary for the purposes described in this Policy, including providing an active Customer account, satisfying Customer instructions, maintaining security and audit records, resolving disputes, enforcing agreements, and complying with legal, tax, accounting, and regulatory obligations.
Retention periods vary by data type and context. Customer business and inspection records may be retained for the duration of the Customer relationship and for a limited period afterward to support retrieval, account closure, backup expiration, legal obligations, or dispute resolution. Security and diagnostic logs may be kept for shorter operational periods unless needed for an investigation. Billing and transaction records may be retained for legally required accounting and tax periods.
Deleted information may remain temporarily in encrypted or access-restricted backups until those backups rotate or expire. We may retain de-identified information where it can no longer reasonably be associated with an individual.
Users may request deletion of their MyFireTools account and associated personal information through an available in-app account setting, through an account-deletion page made available by MyFireTools, or by contacting hello@lando.digital. We may need to verify the request before acting on it.
Deletion of an individual Authorized User does not necessarily require deletion of business records that belong to the Customer organization, such as completed inspection reports, service records, invoices, audit history, or records the Customer or Lando Digital must retain for legitimate legal, security, fraud-prevention, accounting, contractual, or regulatory reasons. Where appropriate, an individual’s account may be removed or identifiers may be deleted or de-identified while required organizational records are retained.
If an entire Customer organization requests account deletion, we will delete or de-identify associated data within a reasonable period, subject to contractual terms, backup cycles, legal retention requirements, dispute preservation, security needs, and other lawful exceptions. If third-party processors hold data solely for us, we will direct them to delete applicable data according to our agreements and applicable requirements.
We use commercially reasonable administrative, technical, and organizational measures designed to protect personal information against unauthorized access, alteration, disclosure, or destruction. Measures may include access controls, authentication, encryption in transit, infrastructure protections, logging, backups, and restricted administrative access, as appropriate to the Services.
No system is completely secure. Users are responsible for protecting credentials, devices, and access to their organization. Please notify us promptly at hello@lando.digital if you believe your account or information has been compromised.
Lando Digital is based in California, United States. We and our service providers may process or store information in the United States and other locations where our providers operate. Privacy and data-protection laws in those locations may differ from those where an individual resides. Where legally required, we use appropriate contractual or other transfer safeguards.
Depending on where you live and the context in which we process your information, you may have rights to request access to personal information, correction, deletion, portability, restriction or objection to certain processing, withdrawal of consent, or information about disclosures. These rights are subject to exceptions and verification requirements under applicable law.
To make a privacy request, contact hello@lando.digital. Please describe your request and the MyFireTools organization with which you are associated. We may request information reasonably necessary to verify identity and authority. Authorized agents may submit requests where permitted by law, subject to verification.
We will not unlawfully discriminate against an individual for exercising applicable privacy rights.
This section provides additional information for California residents. The California Consumer Privacy Act, as amended by the California Privacy Rights Act (“CCPA”), applies only when statutory applicability requirements are met. Nothing in this Policy is an admission that Lando Digital is a “business” subject to every CCPA obligation in every circumstance.
Depending on our interactions with you, categories of personal information we may collect can include identifiers; customer-record information; commercial information; internet or electronic-network activity; geolocation data; professional or employment-related information; and inferences or other information derived from the foregoing where applicable. The specific examples are described in Section 2.
We collect these categories from individuals, Customer organizations and their administrators, devices and browsers, integrations, service providers, and information generated through use of the Services. We use and disclose them for the business and operational purposes described in Sections 3 and 4.
Where the CCPA applies, California residents may have rights to know/access, correct, delete, and obtain information about certain disclosures, and to opt out of sale or sharing. We do not intend to sell personal information for money or share Customer inspection data for cross-context behavioral advertising. If legally regulated sale/sharing practices are introduced, we will provide required controls.
Certain information may qualify as sensitive personal information under California law, such as precise geolocation or account credentials. We use such information for the purposes described in this Policy, including providing requested field functionality, authentication, security, and service operations, and not for unrelated profiling or advertising purposes.
California requests may be submitted to hello@lando.digital. We may verify requests and apply statutory exceptions. If we process information solely on behalf of a Customer, we may direct the request to that Customer or assist it in responding.
MyFireTools is a business service intended for adults and organizations in the fire-protection and related industries. It is not directed to children under 13, and we do not knowingly collect personal information directly from children under 13 through consumer-facing account creation. If you believe a child has provided personal information to us without appropriate authorization, contact hello@lando.digital.
We may send service-related messages such as account verification, password resets, security notices, inspection/workflow notifications, support responses, billing notices, and material policy updates. These transactional messages may be necessary to provide the Services.
Marketing communications, if any, will include legally required choices to unsubscribe. Opting out of marketing does not prevent necessary transactional or service communications.
The Services may link to or integrate with third-party websites, applications, mapping services, accounting systems, payment services, app stores, or other providers. Their privacy practices are governed by their own policies. We encourage users and Customer administrators to review third-party terms before enabling integrations or providing information.
We may update this Privacy Policy as our Services, technologies, providers, or legal obligations change. We will post the revised Policy with a new effective date and provide additional notice where required by law or where changes are material. Your continued use of the Services after an updated Policy becomes effective is subject to applicable law and any consent requirements.
